HouseFile is a service provided by HouseFile, which is the data controller for personal data described in this notice. Contact: privacy@housefile.app.
Personal data we collect
- Account data — email address, password hash, sign-in provider, account settings.
- Transaction data — purchase history, plan and billing period, partial payment method details and billing country (payment card numbers are never received by us).
- Property and record data you submit — addresses, invoices, permits, inspection reports, warranties, contractor details and photos.
- Usage data — pages viewed, reports opened, searches, device and browser information.
- Technical data — IP address, log data, cookies and similar identifiers.
- Support data — messages you send us.
How we use it
To create and secure your account, compile and deliver reports, process payments and renewals, provide support, prevent fraud and abuse, comply with legal obligations, and improve the service. Where required, we rely on your consent for optional analytics and marketing.
Who we share it with
- Stripe — our payment provider, and the merchant of record on eligible orders, which receives the personal and billing data needed to take payment, handle tax and process refunds.
- Cloud hosting, database and authentication providers that run the service.
- Public-record and property-data suppliers, used to look up permits and property attributes.
- Professional advisers and authorities where legally required.
We do not sell your personal data.
Retention
We keep account and property records while your account is active and for as long as needed for legal, tax and accounting purposes. You may request deletion at any time.
Your rights
Depending on where you live you may request access, correction, deletion, portability, restriction, or object to processing, and withdraw consent. Email privacy@housefile.app and we will respond within the period required by law.
Security and international transfers
We use encryption in transit, access controls and audited infrastructure. Data may be processed in the United States and other countries under appropriate safeguards.
